1. Scope and responsibility
This Privacy Policy explains how ToolShare handles personal information when you use its website, applications, and mobile API. It covers information about account holders, borrowers, owners, work providers, workers, and people who contact us.
ToolShare’s operator is responsible for the personal information described here and handles it in accordance with applicable data-protection law, including the Digital Personal Data Protection Act, 2023 and the Digital Personal Data Protection Rules, 2025 to the extent they apply and are in force.
2. Information we collect
- Account and profile information — Name, email address, password in hashed form, mobile number, profile photo, location or postal code, unit/building details, and profile preferences you provide.
- Rental and listing information — Tool descriptions, photos, condition, pickup location, prices, availability, borrow requests, rental dates, pickup/return confirmations, condition photos, ratings, and transaction or payment status.
- Work information — Work posts, location, dates, pay, skills, applications, worker notes, agreed terms, messages, completion status, ratings, and payment or payout status.
- Payment and payout information — Payment method, amount, transaction and gateway references, and payout status. If you request a payout, bank account and IFSC details are stored encrypted and made available to authorised administrators for payout processing.
- Communications and safety records — Support enquiries, messages between users, notifications, reports, rental history, and any information you provide when resolving a complaint or safety issue.
- Technical and usage information — Session and security data, device push token and platform where enabled, and technical logs such as IP address, browser, and request details generated when you use the Platform.
The Platform’s vehicle checklist records whether specified documents were physically shown or checked; it is not a document-verification service. Do not send identity documents or sensitive personal information unless a feature or support process specifically asks for it.
3. How we use information
- Create and secure accounts, show relevant tool and work listings, and connect users involved in a rental or work engagement.
- Process requests, agreements, payments, refunds where applicable, payouts, subscriptions, and transaction records.
- Send service messages and notifications about applications, rentals, handoffs, returns, payments, and safety or support matters.
- Provide support, investigate reports, prevent fraud and misuse, enforce the Terms, and protect users and the Platform.
- Maintain business records and comply with legal, regulatory, tax, accounting, and lawful authority requirements.
- Understand and improve Platform reliability and features using information available to us for those purposes.
4. How information is shared
- With other users: Relevant profile and listing details are shown to help users evaluate listings, apply for work, arrange handoffs, communicate, and complete a transaction. Information shown depends on the feature and your relationship to the request or work engagement.
- With service providers: We use providers that help host and operate the Platform, deliver notifications, process payments, and provide support or technical services. They receive information needed for their service and may handle it under their own terms and applicable law.
- With authorised administrators: Administrators may access information needed to handle support, safety, payments, disputes, and payouts. Bank payout details are decrypted only for authorised payout administration.
- For legal and safety reasons: We may disclose information where required by law, valid legal process, or to address fraud, security, safety, or a serious rights violation.
- Business changes: If the Platform or its assets are reorganised or transferred, relevant information may be transferred subject to appropriate safeguards and applicable law.
We do not sell personal information. We share only what is reasonably needed for the purposes described above or required by law.
5. Location, cookies, and notifications
Location and postal-code details you provide may be used to show nearby listings or work opportunities. Listing pickup addresses and work locations may be shown to users involved in the relevant transaction. If your device or browser asks to use precise location for an optional feature, you can deny permission; the feature may then be unavailable.
We use session and security technologies needed to sign in, maintain your session, and protect the Platform. You can disable push notifications through your device settings; essential account and transaction notices may still appear in the Platform.
6. Retention and account closure
We keep personal information for as long as needed to provide the Platform and for legitimate support, safety, accounting, tax, dispute, and legal purposes. Retention depends on the type of record and applicable law.
When a listing is deleted from user-facing views, ToolShare may retain the listing and related rental or work records in restricted administrative views for historical, safety, dispute, and legal purposes. Closing or deactivating an account does not automatically remove transaction records that must or reasonably need to be retained.
7. Security
We use safeguards designed to protect information, including hashed passwords, access controls, and encryption for stored payout bank details. No online service can guarantee absolute security. Keep your password private and contact us promptly if you believe your account or information has been compromised.
8. Your choices and privacy requests
You may update profile information in your account and may request access to, correction of, or erasure of personal information by contacting us. You may also withdraw consent where processing relies on consent. Some information may need to be retained or processing may continue where permitted or required by law, or where needed to provide a feature you request.
We will handle requests and privacy complaints under applicable data-protection law. We may need to verify your identity before acting on a request. If you are not satisfied with our response, you may use the complaint or appeal route available under applicable law.
9. Children and third-party services
ToolShare is intended for people aged 18 or older and does not knowingly invite children to create accounts. If you believe a child has provided personal information, contact us so we can review it.
Payment, hosting, notification, and other third-party services may have separate privacy terms. Review those terms when you use their services. Their processing is also subject to applicable law and any arrangements ToolShare has with them.
10. Changes and contact
We may update this Policy when our practices or applicable law change. We will publish the current version and update the date above. Where required, we will notify you or seek consent before a change applies.
For privacy requests or complaints, contact us through the Contact page or email support@toolshare.app.
